Trilab Racing Social Media Policy

1. Purpose

This policy outlines how Trilab Racing uses social media to promote the club and celebrate member achievements. It ensures that all online activity reflects the club’s values while protecting the privacy and rights of its members.

The policy also explains our opt-out approach to photography and social media, providing members with clear information and control over how their images are used.

2. Scope

• Applies to all Trilab Racing members, coaches, volunteers, and committee members.

• Covers official Trilab Racing social media channels such as Facebook, Instagram, and Strava.

• Applies to personal social media accounts when referencing the club or its activities.

• Includes photographs and videos taken at races, training sessions, and club events.

3. Our Social Media Objectives

• Celebrate member achievements and milestones.

• Promote club activities, events, and initiatives.

• Foster a sense of community and inclusion.

• Encourage participation in triathlon and endurance sports.

• Share information with members and the wider community.

4. Our Values Online

• Represent the club in a manner consistent with its community ethos.

5. Photography and Social Media – Opt-Out Approach

Lawful Basis: Trilab Racing uses photographs and videos under the UK GDPR lawful basis of 'Legitimate Interests'.

Opt-Out Principle: Photographs and videos may be taken during public events such as races, training sessions, and club activities. Unless a member informs the club otherwise, we will assume they are happy for images of them to be used for club communications and promotional purposes.

How Images May Be Used: Images and videos may be published on the club’s social media platforms, website, newsletters, and promotional materials.

Opting Out: Members who prefer not to appear in photographs or videos can opt out by contacting the club at info@trilabracing.com. The club will maintain a confidential opt-out register and make reasonable efforts to avoid photographing individuals who have opted out.

Respecting Member Preferences: Individuals will not be tagged or identified without their permission, and images will be removed promptly upon request where reasonably possible.

6. Acceptable Use of Social Media

• Share positive experiences of training, racing, and club events.

• Celebrate fellow members’ achievements.

• Tag the club’s official accounts where appropriate.

• Use club hashtags such as #Trilab and #TrilabRacing.

• Promote inclusivity and community spirit.

7. Unacceptable Use

• Posting offensive, discriminatory, abusive, or defamatory content.

• Bullying, harassment, or intimidation.

• Sharing confidential or sensitive club information.

• Misrepresenting personal opinions as official club statements.

• Posting images of members who have opted out.

• Engaging in online disputes while representing the club.

8. Use of Official Club Channels

Only authorised committee members or designated social media administrators may post on official Trilab Racing accounts, respond to media enquiries, or make official announcements on behalf of the club. All official content should reflect the club’s values and comply with this policy and the club’s Privacy Notice.

9. Safeguarding and Privacy

Although Trilab Racing currently has no members under the age of 18, the club remains committed to safeguarding and privacy by respecting member preferences regarding photography, avoiding the sharing of personal contact information, ensuring data is handled in accordance with UK GDPR, and responding promptly to any privacy concerns.

10. Handling Negative or Inappropriate Content

• Members should not engage in online disputes.

• Any concerns should be reported to the club committee.

• Only authorised representatives will respond on behalf of the club.

11. Breaches of the Policy

• Informal guidance or a request to remove content.

• A formal warning from the committee.

• Suspension or termination of membership in serious or repeated cases.

• Referral to relevant governing bodies where appropriate.

12. Policy Review

This policy will be reviewed annually to ensure it remains current and effective and continues to comply with legal and regulatory requirements.
